Create an account, set up your profile and publish your first gallery in minutes.

How do I create a Picvelo account?

Go to the Sign up page, provide your email, password and studio name. We will send you an activation link. Once you click it you can sign in and start creating galleries.

How do I set up my studio profile?

After signing in, open the admin panel and go to Settings. There you can configure your logo, studio name, contact details and the default language for client galleries.

How do I create my first gallery?
  1. From the admin panel create a gallery and assign a client (or create a new one).
  2. Upload photos via drag & drop.
  3. Set the status to Active.
  4. Click Send email to client with the sign-in details.

Can I try Picvelo for free?

Yes. Every new account starts on the free plan, which lets you try the core features. Limits and a plan comparison are available on the pricing page.

Password management, 2FA, email changes and account deletion.

I forgot my password. How can I reset it?

On the sign-in page click Forgot password, enter your email and check your inbox. The reset link is valid for 60 minutes.

How do I enable two-factor authentication (2FA)?

In the panel menu (the ⚙ icon) choose Two-factor authentication and click Enable 2FA. Scan the QR code with an app like Google Authenticator or 1Password, then enter the displayed code to confirm setup.

Can I sign in with my email instead of a username?

Yes. In the "Login" field you can use either your username or the email address linked to your account.

How do I delete my account and what happens to my data?

In Settings → Account there is a Delete account option. We require email confirmation. After deletion, all galleries, photos and client data are permanently removed within 30 days.

Which photo formats are supported?

We support JPG, JPEG, PNG and WEBP. The number of photos depends on your plan storage (Free 2 GB, Pro 50 GB, Studio 200 GB). See the pricing page.

Who can access my gallery?

Every gallery is private and can only be opened with the client's login and password, which you send by email. You also control access with the gallery status and the selection deadline.

How do I sort and search photos?

Above the photo grid use the Sort list (default, recommended, selected, by name) or the search box to quickly find a specific file.

Do clients see EXIF metadata?

No. We serve clients files with metadata stripped, to protect your privacy and technical shot details.

How do I deliver the final, edited photos to the client?

Create a delivery gallery: on a selection gallery click Deliver final photos, or when creating a new gallery choose the Delivery type. Upload the final files and send them to the client. A delivery gallery has no watermark and no selection, and the client downloads the full-quality originals themselves with a single Download all (ZIP) button.

How do I invite a client to a gallery?

Each client has their own login and password. On the gallery page click Send email to client and Picvelo sends a message with the sign-in link and access details.

How does a client mark favourite photos?

The client clicks the round select button on a photo. The circle turns into a green check and the selection is saved automatically, no form submission needed.

Can a client add a note to a photo?

Yes. Each photo has a notes field, perfect for comments like "use for the album" or "please adjust colours".

How do I download the client's selection?

Once the client approves the selection, a Download selected photos (ZIP) button appears in the "Next step" row on the gallery page. You get an archive of the original, watermark-free files, ready to edit in Lightroom or Capture One. You can also preview the selection by sorting the gallery by "Selected".

Watermarks

Setup, custom logo and watermark positioning.

How do I add my own watermark?

Go to Settings → Watermark, upload a PNG file with a transparent background and set opacity and position. The watermark is then applied to all photos in new galleries.

How do I disable or limit the watermark?

You configure the watermark globally in the Watermark section. You can turn it off entirely or keep it only on recommended photos. The setting applies to all galleries.

Can the unwatermarked original ever reach the client through the app?

No. The app only ever serves the watermarked preview to the client. The original never leaves your account through the client-facing channel. You deliver the unwatermarked file yourself (e.g. WeTransfer, cloud drive) after the selection is approved.

Subscriptions & billing

How do I change my subscription plan?

In the panel go to Billing → Plan. You can upgrade at any time. We prorate the charge to the end of the current period.

Where can I find my invoices?

All invoices are available under Billing → History. Each one can be downloaded as PDF.

Which payment methods do you support?

We support Visa, Mastercard and SEPA transfers via Stripe. Payments are encrypted and we do not store card details on our servers.

What happens if I exceed my plan limits?

You'll be notified by email and in the panel before the limit is reached. After exceeding it, new uploads are blocked. Existing galleries keep working. You can upgrade your plan at any time.

Security & privacy

How we protect your photos and client data.

Are my photos encrypted?

Yes. All files are stored on EU-based servers with at-rest encryption, and all transfer happens over HTTPS (TLS 1.3).

Who has access to my galleries?

Only you and the clients you sent a login and password to. Technical staff have access only to system logs (not gallery contents), and only when investigating a support request.

Troubleshooting

Common technical issues and how to resolve them.

Photos upload very slowly

Check your connection speed (Speedtest). If uploads are disproportionately slow, resize files in Lightroom to about 3000px on the long edge. That is usually enough for clients to select from.

A client cannot open the gallery

Check: (1) that the client enters the correct login and password from the email (they are case-sensitive), (2) that the gallery has actually been sent (the "Send email to client" button on the gallery page), (3) that the client is using an up-to-date browser. You can view the client's login and password and resend them from the client's page in the panel.

I'm not receiving emails from Picvelo

Check your Spam folder and add our domain to the trusted senders list. If you use Gmail, check the "Promotions" tab. If problems persist, contact us. We'll help verify deliverability.
